What's the difference between QuickBooks Online and Desktop?

QuickBooks Online runs in a browser. QuickBooks Desktop is software installed on a specific computer. That’s the core difference, and everything else flows from there.

QuickBooks Online lets you access your books from anywhere with internet. You can log in from your phone, laptop, or a client’s office. Multiple people can work in the same file at once. Updates happen automatically. The tradeoff is you need reliable internet and you’re paying a monthly subscription that tends to increase over time.

QuickBooks Desktop lives on one computer. It’s faster for data entry because nothing travels through the internet. Some advanced features for job costing and inventory are more robust in Desktop. You used to be able to buy it outright rather than paying monthly, though Intuit has been pushing Desktop users toward annual subscriptions. The downside is you need to be at that computer to do your books, and backups are your responsibility.

Intuit has been signaling for years that Desktop’s days are numbered. They’ve stopped selling the one-time purchase version and are pushing everyone toward Online. If you’re starting fresh, Online is the safer long-term choice. If you’ve used Desktop for years and it works, there’s no immediate need to switch, but plan for the eventual transition.

For most small businesses in Northwest Arkansas, QuickBooks Online makes sense.
